Job Description- Secretary/Bookkeeper

The Huron Catholic Parishes are seeking to hire a full-time Secretary/Bookkeeper to assist in the operation of the Catholic communities located along Lake Huron in the Upper Peninsula. With an office located in Hessel, MI, this role works closely with the pastor in the administration and pastoral support of our four parishes

Position Title: Secretary/Bookkeeper
Position Details: Full-Time, Non-Exempt
Hours: 40 Hours Per Week
Wages: $16-$19 per hour, depending on experience, plus health benefits.
Office Location: Our Lady of the Snows Catholic Church, Hessel
Schedule: Monday-Friday 9:00am to 5:00pm

Principal Duties and Responsibilities:

  • Manage the church office.

  • General secretarial duties such as answer/direct phone calls, schedule church facilities, greet visitors, help coordinate church activities.

  • Collect parish announcements each week.

  • Purchase supplies for the parish office.

  • Record and manage weekly parishioner contributions and mail yearly giving reports.

  • Maintain cemetery records for the St. Stanislaus Kostka Cemetery.

  • Assist the pastor in preparing for and managing the annual diocesan Catholic Services Appeal.

  • Distribute weekly bulletins.

  • Prepare regular and bulk mailings to parishioners.

  • Maintain filling system for all financial, sacramental, and parish records with a regularly scheduled electronic backup of files.

  • Coordinate, train and schedule volunteers in the parish office.

  • Manage the parish financial process to include accounts payable/receivable and Payroll.

  • Create annual diocesan reports and monthly financial reports for each parish.

  • Record Accounts Receivable/Payable and designate to the proper parish (shared).

  • See that all bills are valid, reconciled, approved by pastor and paid in a timely manner.

  • Write checks, make deposits, record receipts and reconcile all accounts.

  • Manage On-Line Giving program to include monthly reconciliation with bank accounts.

  • Pick up mail daily at the Post Office.

  • Other duties as directed by the Pastor.

Principal Duties and Responsibilities:

  1. High School graduate.

  2. Knowledge of and skill in secretarial, bookkeeping, and computer operations—capable of learning SAGE program (Parish accounting system).

  3. Strong working knowledge and practical proficiency in Microsoft Word and Excel.

  4. Ability to work independently, organize and arrange priorities to meet deadlines.

  5. Verbal skills to communicate and work closely with parish staff and others.

  6. Maintain a positive attitude.

  7. High level of discretion, integrity, and confidentiality.

  8. Complete required initial and on-going Diocesan/Parish training with background check.

  9. Bound by all the duties and responsibilities as set forth by the Diocesan policies and procedures.
